Last updated: April 28, 2026

When Works Best ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and the choices available to you when you use our service at https://whenworksbest.com/ (the "Service").

By creating an account or using the Service, you agree to the collection and use of information described in this policy. If you do not agree, please do not use the Service.

1. Information We Collect

We collect information you provide directly and information generated when you use the Service.

Account Information

When you register, we collect your email address, an optional display name, and a securely hashed version of your password. If you register or sign in using a third-party provider such as Google, we receive your email address and name from that provider. We do not store your third-party password.

Event Data

When you create or participate in events, we collect the event details you provide, including event names, descriptions, proposed date and time options, your votes on those options, alternate time suggestions, and any comments you post within an event.

Contacts

If you use the contacts feature to manage a list of people you frequently invite to events, we store the contact information you enter (such as names and email addresses). You are responsible for ensuring you have the right to add another person's contact information to your account.

Notifications

We store your notification preferences and a history of notifications sent to you so that you can review updates about events you are involved in.

Support Requests

If you submit a support request through the Service, we collect the content of your message along with optional diagnostic information you choose to share (such as your browser, screen resolution, or the page URL where the issue occurred).

Usage and Technical Data

We may collect standard server log data, including your IP address, browser type, operating system, referring URLs, and the date and time of your requests. This information is used for security monitoring, debugging, and to understand how the Service is used in aggregate.

2. How We Use Your Information

We use the information we collect to:

  • Create and manage your account and authenticate your identity.
  • Provide the core features of the Service, including event creation, invitation delivery, vote collection, and decision facilitation.
  • Send you notifications about events you have created or joined.
  • Respond to support requests and communicate with you about your account.
  • Monitor and improve the security, reliability, and performance of the Service.
  • Comply with applicable legal obligations and enforce our terms of service.

We do not use your information for behavioral advertising and we do not build advertising profiles based on your activity.

3. Information We Do Not Sell or Share

We do not sell your personal information. We do not share your personal information with third parties for their own marketing or advertising purposes.

We may share information in the following limited circumstances:

  • With other users you invite: When you invite someone to an event, that person can see your display name and the event details you share. Event participants can see each other's votes and comments within that event.
  • Service providers: We may use third-party service providers (such as hosting and infrastructure providers) who process data solely on our behalf under confidentiality obligations. They are not permitted to use your data for their own purposes.
  • Legal requirements: We may disclose information if required to do so by law, court order, or government request, or when we believe disclosure is necessary to protect the rights, safety, or property of users or the public.
  • Business transfers: In connection with a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you via email before your information is transferred and becomes subject to a different privacy policy.

4. Data Retention

We retain your account information and associated data for as long as your account is active or as needed to provide the Service.

If you delete your account, we will delete or anonymize your personal information within a reasonable period, except where retention is required by law or needed to resolve disputes, enforce agreements, or maintain security logs. Aggregate and anonymized data that cannot identify you may be retained indefinitely.

5. Your Rights and Choices

Depending on where you live, you may have certain rights with respect to your personal information. We honor these rights regardless of your location.

Access and Portability

You can review the personal information associated with your account at any time by visiting your profile settings within the Service.

Correction

You can update your display name and other account details through your profile settings. If you need help correcting information you cannot update directly, contact us using the details in the Contact Us section below.

Deletion

You may request deletion of your account and associated personal information by submitting a support request through the Service. We will process your request in accordance with applicable law.

California Residents - CCPA / CPRA Rights

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA):

  • Right to Know: You may request a summary of the categories and specific pieces of personal information we have collected about you.
  • Right to Delete: You may request that we delete your personal information, subject to certain exceptions.
  • Right to Correct: You may request that we correct inaccurate personal information we hold about you.
  • Right to Opt-Out of Sale or Sharing: We do not sell or share your personal information for cross-context behavioral advertising. No opt-out action is required.
  • Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights.

To exercise your California rights, submit a support request through the Service or contact us at the email address in the Contact Us section. We may need to verify your identity before processing your request.

Email Notifications

You can manage which email notifications you receive through your notification preferences in the Service. Transactional emails related to account security (such as password reset messages) cannot be disabled.

6. Security

We take security seriously and implement technical and organizational measures to protect your information:

  • All data is transmitted over encrypted HTTPS connections.
  • Passwords are stored as secure hashes and never in plaintext.
  • Access to production systems and personal data is restricted to authorized personnel.

No method of electronic transmission or storage is 100% secure. While we work to protect your information, we cannot guarantee absolute security. If you believe your account has been compromised, please contact us immediately.

7. Cookies and Similar Technologies

We use minimal browser storage to operate the Service. Specifically, we use essential cookies, including a session or authentication cookie, to keep you signed in and support secure requests to the Service. These cookies are strictly necessary for the Service to function and are not used for advertising or cross-site tracking.

We do not currently use third-party analytics cookies or advertising trackers. If that changes, we will update this policy and provide appropriate notice.

8. Children's Privacy

The Service is not directed to children under the age of 13, and we do not knowingly collect personal information from anyone under 13. If we become aware that we have collected personal information from a child under 13 without parental consent, we will delete that information promptly. If you believe a child has provided us with personal information, please contact us.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you by email or by posting a notice on the Service. Your continued use of the Service after the effective date of any update constitutes your acceptance of the revised policy.
